Privacy Policy

Effective July 10, 2026

The short version: your contacts, clients, and business data live on your computer and are never sent to us. Our server only sees your license key and which coaching tools your AI requests. We don't sell data, we don't run ad trackers, and we can't lose what we never collect.

What WarmBook stores on YOUR computer (not ours)

The WarmBook application runs locally. Your contact database ("your Book"), lead tracker, calendar, plans, coaching logs, and every file the coach writes are stored on your own machine. We have no access to them. Your conversations with the AI coach happen between your computer and your own AI provider (Anthropic or OpenAI) under their terms — WarmBook does not receive them.

What our server receives

When your AI requests coaching content from the WarmBook service, our server receives: your license key, the name of the coaching tool requested (for example, "daily brief" or a drill name), the topic word you asked about, and a timestamp. We log these requests to operate the service, prevent abuse, and understand which coaching content is useful. If you use the weekly scoreboard tool, the activity counts you submit (numbers only — never names or client information) pass through it to generate your score.

What we collect when you subscribe

Your name, email address, and payment details are handled by our payment processor (Stripe); we receive your name, email, and subscription status — never your card number.

What we never do

We never sell or share your information. We never use your data to train AI models. We never receive your clients' personal information. This website uses no advertising trackers or third-party analytics.

The Lofty import

If you connect a Lofty CRM, your Lofty API key is stored only on your computer, and your contact data is pulled directly from Lofty to your machine. Neither your key nor your contacts pass through WarmBook's servers.

Data retention & deletion

Server request logs are kept for up to 12 months for abuse prevention, then deleted. If you cancel, your subscription record is retained as required for accounting, and nothing else exists to delete — your business data was always yours, on your machine.

Changes & contact
